Snipe-IT alternative for medical equipment & loaner management

Snipe-IT is an excellent free, open-source IT asset management tool — laptops, monitors, software licences, who-has-what across a company. If that's your problem, it's hard to beat on price. But if you're a medical or dental equipment dealer lending substitution units, repairing devices and renewing service contracts, you'll quickly hit the edges of a tool that was never designed for that workflow.
What Snipe-IT does well
- Free and open-source (self-hosted), or low-cost hosted
- Clean check-in / check-out of assets to users
- Licences, components, consumables
- Custom fields, labels, a solid API
For an internal IT department, Snipe-IT is genuinely great. A loaner pool of medical devices is a different animal.
Where it falls short for medical loaners
1. No loaner round-trip or repair workflow
Snipe-IT models "checked out → checked in." A medical loaner moves through in transit out → at customer → in transit back → cleaning → closed, while the broken unit travels in for repair (received → repaired → returned) and back — four box trips, each with a carrier tracking number. Snipe-IT has no concept of any of this.
2. No service-contract or renewal tracking
Dealers don't just lend equipment — they sell annual service contracts on it. Loaners.app tracks each contract's real end date, flags what's expired or due in 30/90 days, and renews with one click. Snipe-IT has no contract/renewal model.
3. No medical chain of custody
MDR Article 18 and FDA UDI need documented traceability. Loaners.app logs every state change as a chain-of-custody event (timestamp, actor, before/after) you can export for an audit. Snipe-IT's history is IT-asset oriented, not built for medical traceability.
4. You host it (and the PHI risk)
Self-hosting Snipe-IT means you run the server, the backups, the security patching — and you own the GDPR/data-protection posture for clinic data. Loaners.app is managed, EU-hosted (Frankfurt), with database row-level tenant isolation, so there's nothing to run.
5. IT vocabulary, no transport boxes or needs-service flag
No first-class transport boxes, no "needs-service" block that stops a faulty unit re-shipping, no photo-at-handover dispute trail tuned to equipment damage claims.

Stay with Snipe-IT if you're an IT team tracking computers, licences and office gear, you're happy to self-host, and price is the priority.
When Loaners.app is the right choice
Choose Loaners.app if you're a medical or dental device dealer, distributor or service team that lends substitution units, repairs equipment and manages service contracts — and needs a chain-of-custody trail without running a server.
